What it tells you

First, how it reads: two to four words like "friendly but abrupt" or "formal and cold", and whether that fits the reader.

Then five checks:

  • The ask. Is it clear what you want, and by when? Is it near the top?
  • The facts. Dates with time zones, names, numbers and links the reader needs.
  • The order. Is the important thing first?
  • The tone. The exact words to change for this reader, quoted.
  • Loose ends. What the reader will have to write back to ask.

You also get a version in the right tone, in your own voice and the same length or shorter.

Example

Email to a bank client: "Hey guys! Quick one, we're running a bit behind but it should be fine. Let me know if questions!"

  • How it reads: casual and vague. Too casual for this reader.
  • The tone: "Hey guys" and "Quick one" read as careless to a bank. Use their names.
  • The facts: "A bit behind" has no new date.
  • The ask: none. Do they need to do anything?
