Staffing and recruiting  ·  4 min read

Across all industries, the benchmark most people quote comes from the Society for Human Resource Management: about 36 days from the day a job opens to the day an offer is accepted. Other surveys land in the low 40s. On a temp staffing desk the clock is much shorter, often one to five days, and same-day for repeat orders. But the number has a catch. A fast fill that falls off in week one costs more than a slow one that sticks. A good time to fill is the fastest one that holds.

The benchmark, by kind of work

  • Corporate, professional roles: around 36 to 45 days is normal. Specialist roles take longer.
  • Direct-hire placements through an agency: often two to four weeks, because the agency starts with a pool.
  • Temp and light industrial orders: one to five days. Repeat orders for a known client can fill the same day.
  • Healthcare and travel nursing: depends on credentialing. The search can be fast and the file can take weeks.

Your own number is the one that matters. Measure it for three months by type of order, and you have a benchmark for your desk.

2Staffing and recruiting

The catch

Say two recruiters each get an order for five warehouse workers on Monday. One fills it by Tuesday. Two of the five do not come back on Wednesday. The other fills it by Thursday and all five are still there a month later.

On paper, the first recruiter had the better time to fill. The client would not agree. They had to call back, wait again, and brief new people twice. The fast fill cost them more than the slow one.

So track two numbers together: time to fill, and how many of those fills are still there after a week or a month. A good time to fill is fast and sticky.

What makes time to fill long

Most slow fills are not slow searches. They are slow starts and bounce-backs.

  • A vague order. Sourcing from a job title, then re-sourcing once the real must-have appears.
  • A submittal that comes back. Each rejected candidate adds days.
  • A slow decision. No named decision-maker, so profiles sit in an inbox.
  • A missing credential. Found at the door, not on day one.

How to shorten it without losing stickiness

Take the order in writing, with the must-haves and who decides. Check each submittal against it before it goes out, so the first candidate the client sees is right. Confirm the start with a four-line note the night before. Each of those adds minutes and removes days.

How M-Tracker helps

Where M-Tracker fits

Most of the days lost in time to fill are rework days. M-Tracker checks each submittal against the written order before the client sees it, so fewer come back, and the first fill is more likely to be the one that sticks. Managers see which orders are moving and which are waiting, without a status meeting.

FAQ

Questions people ask

Is a shorter time to fill always better?

Only if the placement holds. A fill that falls off in week one should count as unfilled when you measure.

How do I measure time to fill on a temp desk?

From the moment the order is confirmed in writing to the moment the worker is confirmed for the shift. Count in hours if you need to.

What is a good time to fill for a new client?

Slower than for a repeat client, and that is fine. The first order is where you learn the real must-haves. Take it properly and the next one is fast.
