The four boxes

  • Do it now. Urgent and important. A bug customers reported. A board update due Friday.
  • Schedule it. Important, not urgent. Planning next quarter. Training a new hire. This box is where the real progress happens, and it is the first to get pushed aside.
  • Delegate it. Urgent, not important to your goals. A survey reply. A routine request someone else can handle.
  • Drop it. Neither. Reorganizing the shared drive. Be honest about this box.

How to tell urgent from important

Urgent means someone is waiting, or a date is close. Important means it moves a goal you care about.

Ask: "If I never did this, what would happen in three months?" If the answer is "nothing much," it is not important, however loud it feels today.

Delegate well, or it comes back

Handing a task over only saves time if it comes back right. Say what the result is, who it is for, and what must be in it. Our task brief builder helps you write that in two minutes.

How M-Tracker helps

Where M-Tracker fits

M-Tracker links each task to a goal, so "important" is not a guess. It also checks delegated work before it reaches you, so the delegate box does not turn into a fix-it box. No screenshots and no activity tracking.
