Work stalls in the gaps between people. Fix it with four rules: every task has one owner, every handoff is said out loud, someone owns the waiting, and shared work has a lead. "We'll look into it" means nobody will. "Sam will send it by Tuesday" means someone will.
Where ownership gets lost
- Meetings. "Let's follow up on pricing." Who?
- Handoffs. Design finishes and assumes development will start. Development is waiting to be told.
- Waiting. A task waits for the client. Nobody chases.
- Shared tasks. Two people own it, so each thinks the other is on it.
Rule 1: One owner per task
Not a team. Not two names. One person who answers "where is this?" They can get help. They still own it.
Rule 2: Say the handoff out loud
When your part is done, hand it over by name: "Design is done and approved. Jordan, it's yours. Files are here." Do not assume the next person noticed.
Rule 3: Someone owns the waiting
When a task waits on someone outside the team, the owner chases. Write down when: "Waiting on client approval. Dana chases Thursday if nothing comes."
Rule 4: Shared work has a lead
Some work really is shared. Name a lead who keeps it moving and says when it is done.
Spot the gaps in your notes
After a meeting, check every action for an owner and a date. The free meeting minutes generator lists actions and flags any without an owner.
A quick test
Pick five open tasks. For each, ask: who is doing the next step, and when? If you cannot answer in five seconds, that task has an ownership gap.
What managers can do
- Ask "who owns this?" in every meeting until people start saying it first.
- Never accept "the team" as an owner.
- Thank people who flag gaps.

Questions people ask
What if the owner is overloaded?
Ownership does not mean doing everything. They can ask for help or hand it over. But they say so.
Should the manager own everything?
No. That makes the manager the bottleneck.
Work you can trust, without redoing it.
Your team gets feedback before work reaches you, or your client.
