Meeting cost calculator
People, minutes and pay in. The cost of the meeting out, each time and for a year.
How to use it
Plan a meeting. Enter how many people, how long, and how often. Open Salary, overhead and currency to use a yearly salary instead of an hourly cost, or to add benefits and taxes.
Live counter. Press Start when the meeting starts. The cost goes up every second. Share your screen with it open. Meetings tend to get shorter.
How the cost is worked out
People × hours × cost per hour.
Eight people in a one-hour meeting at $55 an hour is $440. Held every week, about 50 times a year, that is $22,000 and 400 hours of people's time.
If you only know salaries, divide a yearly salary by 2,080 working hours. $90,000 a year is about $43 an hour. Add 20 to 40% if you want to include benefits and taxes.
What to do with the number
A number is not a reason to cancel a meeting. It is a reason to ask three questions:
- Does this meeting end with decisions? If it is only updates, those could be written.
- Does everyone need to be there? Two fewer people often changes nothing but the cost.
- Could it be half as long? The calculator shows what that saves.
Our meeting agenda generator helps make the time count.

What hourly cost should I use?
Your best average for the people in the room. A rough number is fine; the point is the size, not the cents.
