Pilots use checklists. Surgeons use checklists. Not because they are careless. Because tired, busy, skilled people skip steps. A short list, run every time, catches the skip.

Long lists do not get used. Six to ten items, specific to this kind of work, do.

Example

Customer announcement email, for customers, high risk.

  • ☐ The first two lines say what is changing and when.
  • ☐ It says what the customer must do, if anything, and when.
  • ☐ Every date has a time zone.
  • ☐ Every link was clicked and opens the right page.
  • ☐ Nothing is promised that is not live yet.
  • ☐ Prices, if any, match the pricing page today.
  • ☐ The sender address and reply-to are right.
  • ☐ One other person has read it.
  • ☐ The subject line says what it is, not "Important update."

Slide deck, for leadership, low risk.

  • ☐ Slide one says what you want them to decide.
  • ☐ Every number has a source and a date.
  • ☐ No slide has more than one idea.
  • ☐ The last slide is the ask, not "Thank you."
  • ☐ You can give the whole thing in the time you were given, with five minutes spare.
  • ☐ Names and titles of people mentioned are spelled right.

How to use it

  1. Make the list before you start the work, not just at the end. It shapes the work.
  2. Run it honestly. If a box cannot be ticked, the work is not ready.
  3. Share it with the person who will review your work. Now you both agree on what ready means.
How M-Tracker helps

Make the list part of every task

In M-Tracker, save the checklist to a task type. Every task of that type carries it. When the work is marked done, the review checks the work against the brief and the list, then tells the person what is still open. Ready work reaches the reviewer. Unready work gets fixed first.
