Meetings and decisions  ·  2 min read

After the meeting, scan the notes for anything someone agreed to do. Rewrite each as a task that starts with a verb, has one owner and a date. Flag anything with no owner or date, and fix it before you send the notes. Five minutes, right after the meeting.

Why actions get lost

Meeting notes say things like "Pricing: discussed, Sam to look into it." That is not a task. Look into what? By when? Done means what? A week later, nobody remembers.

The five-minute method

Minute 1: Find the actions. Scan for words like "will," "should," "need to," "let's," "follow up," "look into."

Minutes 2–3: Rewrite each one.

  • Start with a verb.
  • Say what done looks like.
  • One owner.
  • One date.

Minute 4: Flag the gaps. Any action with no owner or no date gets flagged. Ask in the notes: "Who owns this?"

Minute 5: Send the notes, actions first.

Before and after

Notes:

Pricing page: screenshots late, discussed moving launch. Sam to look into it. Legal review of plan names needed. Dana mentioned sales handout.

Tasks:

  • Ask product for the three screenshots, with a firm date · Sam · Tue June 4
  • Get legal sign-off on the new plan names · Alex · Thu June 6
  • ⚠ Decide whether to make a sales handout · owner? · date?

Do it during the meeting

The best time to fix a missing owner is while everyone is in the room. Spend the last two minutes reading the actions out loud: "Sam, screenshots by Tuesday?" Silence is not agreement. Wait for a yes.

Use a tool for long notes

For a long transcript, paste it into the free meeting minutes generator. It pulls out decisions and actions, and lists the ones with no owner or date. It never makes up an owner.

6Meetings and decisions

Track them until they are done

Put the actions where they will be seen: your task tool, or the action item tracker. Start the next meeting by checking them.

Actions become real tasks

In M-Tracker, each action becomes a task with an owner, a date and a brief, linked to the goal it serves. When it is finished, the work gets a first review before it reaches you. No screenshots and no activity tracking.
