Staffing and recruiting  ·  4 min read

Five skills matter most on a staffing desk. Listening on the intake call. Writing a clear submittal. Judging evidence instead of claims. Following through on every promise. And reading a job order properly. The last one is the one almost nobody trains, and it is the one that stops most rework.

1Staffing and recruiting

1. Listening on the intake call

The intake call is where the order gets made or broken. A recruiter who talks for most of it walks away with a job title and a pay rate. A recruiter who listens walks away with the shift, the site, the must-haves, and the thing the last person got wrong.

A simple test: after the call, can you write the order in five lines without calling back? If not, you did not listen enough.

2. Writing a clear submittal

A submittal is a short piece of writing with one job: to show the client, in the first few lines, that this person has what the order asked for. Name the must-have. Then give the proof. "Forklift certified. Card renewed in March. Two years on nights at a cold-storage site."

Long summaries hide the proof. Short ones show it.

3. Judging evidence, not claims

Resumes make claims. "Exceeded quota." "Expert in Excel." A recruiter's job is to turn each claim into evidence before the client has to. Ask for the number. Ask for the date. Ask what they did on a normal Tuesday. If the answer is vague, the claim goes in the submittal as a question, not a fact.

4. Following through

Candidates and clients remember one thing: did you do what you said? "I'll call you Sunday at five." "You'll have two profiles by Thursday." A recruiter who keeps small promises gets the big ones: the callback, the next order, the referral.

Follow-through is also what stops no-shows. A confirmation note the night before, with the start time, the gate, and the person to ask for, is follow-through in writing.

5. Reading a job order properly

This is the skill nobody trains, and the one that costs the most when it is missing. Reading a job order properly means treating every line as a requirement, not a suggestion. "Current card" means current, with a date. "Start Monday" means available Monday, not "soon." "Nights" means the candidate has agreed to nights, out loud.

Most submittals that come back were not bad candidates. They were good candidates sent against an order that nobody read closely. The fix is a habit: before anything goes out, read the order one more time and check each line against the submittal.

How to train these five

Skills one, three and four come with coaching and time. Skills two and five can be taught in a week. Show a recruiter one good submittal, marked up against its order. Have them write their next one. Review it the same hour. Repeat for twenty submittals. After that, the habit is there.

How M-Tracker helps

Where M-Tracker fits

Skill five is easier with a second reader. In M-Tracker, the job order is the brief. When a recruiter attaches a submittal, they get a plain-words note on which must-haves are answered and which are missing, before the manager or the client sees it. New recruiters learn the habit in their first twenty submittals instead of their first twenty months.

FAQ

Questions people ask

Is sales skill more important than these five?

Sales skill gets the order. These five keep the client. A desk needs both, but most desks lose clients on quality, not on sales.

What about sourcing and Boolean search?

Sourcing matters, and it is easy to teach. Reading the order properly tells you what to source for. Done in the wrong order, great sourcing finds great people for the wrong job.

Which skill should a new recruiter learn first?

Reading the order. Everything else gets faster once they know exactly what they are looking for.
