Response rates are down because candidates get more recruiter messages than ever and most of them say nothing. "I came across your profile and have an exciting opportunity" is deleted on sight. The fix is not more messages. It is fewer, better ones that match this candidate to this order, with the must-haves and the pay in the first two lines. Ten messages that fit get more replies than a hundred that do not, and they take less time to write.

Messages sent is an activity number. Replies from people who fit is the one that matters.
1Staffing and recruiting

Why response rates fell

Three things at once. More recruiters sending more messages, many of them automated. AI tools that make every message sound the same. And candidates who have learned that "exciting opportunity" means "I have not read your profile." The inbox is full and the signal is gone.

Sending more into that is like shouting louder in a loud room.

2Staffing and recruiting

The message that gets a reply

It is short and it is specific, and it could only have been sent to this person about this order.

Hi Sam. I have a night-shift lead role at a cold-storage site in Dayton, $24 an hour, start the 4th. Your two years running nights at a frozen DC are the exact match. Must-haves: a current forklift card and comfort with a strict lead. If that's you, can I call tomorrow at 10 or 2?

Five lines. The role, the pay, the start. Why them, from their actual profile. The must-haves, so they can self-select out. A specific ask with two times. Nothing about exciting opportunities.

3Staffing and recruiting

The method: match before you message

  1. Start from the written order. Must-haves, pay, shift, start date. If the order is vague, fix it first; a vague order produces vague messages.
  2. Find ten people who match the must-haves. Not a hundred who match the title.
  3. Write each message from the order and their profile. One line that proves you read theirs.
  4. Put the pay in. Messages without a number get ignored by people who are employed, which is who you want.
  5. Ask for a time, not "interest."

Ten messages, forty minutes. Expect replies from a third of them. Compare with a hundred templated messages in the same forty minutes and two replies, one of them "please remove me."

The follow-up

One, three days later, two lines. "Still looking for the right person for the Dayton night lead role. If the timing's wrong, no problem; is there someone you'd point me to?" The referral ask gets answers from people who are not looking.

How M-Tracker helps

Where M-Tracker fits

A good outreach message is a small piece of writing that has to match the order, and the order has to be clear first. In M-Tracker, the order is the brief with its must-haves and pay, and the message or the submittal that follows can be read against it before it goes, with a plain-words note on what is missing. The must-haves are in the first two lines because the brief said so.

FAQ

Questions people ask

What is a good InMail response rate now?

Templated messages often get under 10 percent. Specific ones with the pay in them can get three times that. Track your own by message type.

Should I use AI to write outreach?

It can draft structure. The line that proves you read their profile has to be true, and that part is yours.

Is InMail still worth paying for?

For specific, matched messages to people who fit an order, yes. For volume, no. Volume is what broke the response rates.
