FTE calculator
List each person and their hours. See how many full-time people that adds up to.
How to use it
- Set the full-time hours per week. In the US this is usually 40.
- Add each person or role with their hours per week.
- Read each person's FTE and the team total.
What FTE means
FTE stands for full-time equivalent. One FTE is one person working full time.
The formula: hours per week ÷ full-time hours.
- 40 hours ÷ 40 = 1.0 FTE
- 20 hours ÷ 40 = 0.5 FTE
- 32 hours ÷ 40 = 0.8 FTE
A team of four people might only be 2.55 FTE. That matters when you plan work, set budgets, or fill in grant and benefits forms.
When to use it
- Planning a project. A plan built for 4 people will slip with 2.55 FTE.
- Budgeting. Salary costs follow FTE, not headcount.
- Reporting. Many US forms ask for FTE, such as some benefits and loan forms. Check the form's own rules, as some use 30 hours as full time.
