Within a day of the work. About the work, not the person. In private for anything corrective. In three sentences: what happened, why it matters, what to do next. Then stop and listen. Professional feedback is not softer or harder than other feedback. It is faster, more specific and more consistent.
The five habits
1. Same day. The fix that takes ten minutes while the work is fresh takes an hour a week later, when the person has to reload the whole task.
2. The work, not the person. "Page two has last quarter's numbers" rather than "you're careless." The first can be fixed. The second can only be defended.
3. Private when corrective. Praise can be public if the person likes it. Correction never is.
4. Three sentences. What, why, do. If you have five points, pick the one that caused the others.
5. Consistent. The same brief gets the same review whoever did the work and whatever kind of day you are having.
What to do when you are busy
Busy is when feedback slips to "looks fine" or to the quarterly review. Build it into the workflow instead: review each finished piece against its brief for five minutes when it lands. That is less time than the rework it prevents.
Receiving it professionally
Say thank you, ask one clarifying question if needed, and act on it the same day. Do not explain why it happened unless asked. The fastest way to be trusted with feedback is to use it.
Where M-Tracker fits
M-Tracker gives the first layer of feedback professionally every time. When work is sent, it is compared with the task's brief and the person gets one plain paragraph: what works, what is missing, what to change. Same minute, about the work, private. The manager's own feedback then takes a few sentences on top, which is easy to keep professional even on a busy day.

Questions people ask
Should feedback be written or spoken?
The what and the do in writing, so they survive. The conversation spoken if it is sensitive.
How do I give feedback to someone senior?
The same five habits. Senior people hate vague feedback most.
What if I'm angry about the mistake?
Wait an hour, not a week. Then describe the work.
Work you can trust, without redoing it.
Your team gets feedback before work reaches you, or your client.
